FULL TIME BILINGUAL CUSTOMER SERVICE FIELD DISPATCHER

    Under general supervision the Customer Service Field Dispatcher assists customers using the Oli Oli Walker, trolleys, and other services at various locations. Monitors the traffic flow and adjusts the timing between Walkers by communicating with drivers and TPT dispatch. Coordinates and directs Walker drivers in the right direction when needed.

    Requirements

    PRIMARY ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
    1. The Field Dispatcher must be able to understand Walker routes and timing, and must readjust the Walkers when needed to ensure smooth and efficient operations.
    2. Communicate with Travel Plaza Transportation (TPT Central Dispatch) to report changes and adjustments to the Walker routes and schedule.
    3. Provide excellent customer service and a stress free experience for all of our valued customers, and follow company guidelines with regards to passenger safety.
    4. Assist customers using the Oli Oli Walker at Oli Oli station by answering schedule related questions, and other general customer service questions (i.e. giving directions to various landmarks/properties in and around the Walker routes.)
    5. Assists in the loading and unloading of passengers at the Oli Oli station.
    6. When needed remind passengers of the safety and operational rules of riding the Oli Oli Walker.
    7. Assist those customers who do not understand English in Japanese.

    SECONDARY FUNCTIONS AND RESPONSIBILITIES:
    1. Complete Daily Field Dispatcher report to upper management at TPT.
    2. Schedule, input, and adjust the Customer Service Rep’s hours according to the direction given by the Customer Service Manager.
    3. While riding in the Oli Oli Walker, assists drivers in maintaining passenger safety standards.
    4. Guides an incoming vehicle to an open spot so they can pick-up or drop off waiting customers.
    5. Work in cooperation with other transportation company guides with respect and professionalism.

FULL TIME RESERVATIONS & SCHEDULING ASSOCIATE

    GENERAL STATEMENT OF RESPONSIBILITIES: Under general direction of the Travel Plaza Transportation Reservations Manager, receives all vehicle reservation bookings and movements for inbound and outbound Japanese and local tours. Records and distributes orders for transportation movements upon request by JTB Hawaii Travel, LLC and other vendors. Assigns vehicles and jobs to drivers and ensures that all movements run smoothly. PRIMARY ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: RESERVATIONS 1. Reviews, changes, adjusts, cancels and finalizes all vehicle reservation bookings for inbound and outbound Japanese tour groups and local tour groups, one day prior to the actual booking date. 2. Ensures that all reservations and bookings via Maui tour agents are created and kept until one day prior to arrival movement. 3. Makes adjustments due to changes in transportation order trip sheet and for new requests or cancellations. Inputs and updates all changes in computer system and finalizes all arrangements made one day prior for Group, FIT, PCC, Kualoa, and special tour arrivals. 4. Compiles each day’s Trip Sheet work, including future booking faxes from Maui tour agents and westbound preliminary bookings. 5. Finalizes and communicates reservation and booking information to TPT dispatch, tour agents, restaurants, National Park Services, optional tour vendors, and other related business partners. 6. Creates new Trip Sheet when receiving last-minute bookings (less than the day of or prior to) arrival. Updates the order by inputting information on the computer as needed and maintains files. 7. Issues meal vouchers, parking vouchers and any necessary passes for each group. 8. Communicates with and assists customers, group coordinators, tour escorts, business partners, and JTB offices in both Honolulu and Maui by referring to the preliminary order sheet. 9. Provides necessary information to TPT dispatch, vendors, tour agents or affiliated companies. SCHEDULING 1. Assigns vehicles and jobs to drivers and ensures that all movements run smoothly. Coordinates movements with Dispatch. 2. Coordinates activities of operators of motor coaches, mini buses, vans and limousines to transport passengers according to schedule. 3. Prepares schedule, determines number of vehicles and trips to be run, assigns vehicle operators to runs. Prepares schedule indicating times or arrival and departure of vehicles at drop off points or indicating where transfer passengers can be picked up. 4.
